To Parents and Guardians

As the famous adage goes “It’s impossible to fly like an angel with a wings of a pigeon” the phrase aptly goes for SJBHS, the executive council of this school PTA plays a key role for our school in integrating the parents with teachers who in-turn take care of the children.

Every year the school calls for an open invitation to the parents to become part of the PTA executive council and based on the needs of the agenda set for that year Parents are selected. The PTA generally meets on second Friday of the month at 3:30 pm unless it’s altered for unforeseen reasons.

The PTA executive council consists of

President or Chair – This post is unanimously assumed by the Fr.Principal himself. The Chair provides leadership for the committee and sets the agenda for meetings and manages meetings in line with the agenda. The Chair should ensure that issues are properly debated and an agreement is reached. Some committee members will be better at expressing themselves than others; it is important that the chair welcomes contributions from all members of the committee so that everyone feels involved.

Key responsibilities:

• Provide leadership
• Sign the approved minutes of the last meeting
• Set the agenda for meetings
• Get to know members of the committee
• Call the meeting to order when it is time
• Agree a date for the next meeting
• Welcome and involve new members
• Close the meeting
• Ask for apologies for absence
• Write the annual report in cooperation with the Secretary
• Follow the agenda and manage the meeting
• Sign cheques for the PTA with one other committee member
• Responsible for all financial transactions

Vice President
The vice president is an elected officer and member of the executive board. The primary responsibility of the vice president is to assist the president and help lead the PTA toward specific goals chosen by its members. The goals must be consistent with the policies and purposes of the PTA. This position can be used to gain understanding of the requirements and duties of the president. Attend meetings as requested by the president. Prepare and present a report to the executive board for each meeting attended on behalf of the president. Help and oversee all the committees that makeup the PTA.

Key responsibilities:

• Provide leadership to the sub committee
• Get into details of the agenda given to subcommittee chairman’s and support them to succeed.
• Reviews the minutes of the meeting with president before its sent to other member.
• Liaison with external government agencies when school needs permission during functions and other
  infrastructural developments.
• Work towards both fund raising and non-fundraising activities needed for the school based on the academic year   and get the approval from school management and Principal

Secretary – This is an elected officer and member of the executive board. The Secretary is a key committee member as they are responsible for ensuring effective communication links between committee members and between the PTA and the school.

Keep an accurate, concise, permanent record of the proceedings of all meetings of the association and of the executive board. These minutes are the legal record of the PTA and the original copy of the minutes is known as the master copy. The Secretary deals with all the correspondence that the PTA receives and helps the VP/Chair ensure that committee meetings run smoothly. With the agreement of the Vice-Principal the PTA Secretary can usually arrange to leave PTA notices with the school Secretary for distribution with school mailings to parents or for distribution via mail/SMS.

• Deal with correspondence
• Write up the minutes of meetings
• prepare agendas
• Distribute minutes to all the committee
• Call meetings - giving plenty of notice
• Make meeting & event arrangements
• Keep a record of attendance at meetings
• Take notes during meetings
• Ensure that enough committee members are present to make the meeting quorate
   (this number is defined in your PTA constitution)
• Write the annual report with the VP and Chair
• Preparation of publicity flyers, posters, tickets, etc. for events

Ordinary Committee Members

Ordinary Committee Members include both parents and teachers council who work alongside the Officers, contributing ideas, helping to organize events or running with smaller projects for the academic year. Be part of subcommittee and take chairman position in the sub-committee. They also have an important role to play alongside the officers of the PTA in ensuring good communication with the rest of the school, encouraging participation and enthusiasm for the events organized by the school.

The Goal for the academic year (2015-16) set by the Chair is

1. E-Governance (create school website, online school management system)
2. Go green initiative- reduce and recycle the waste generated in school.
3. Organize Carnival and Raffle that adds value to children.
4. Health and Hygiene
